What's on a quote for a builder

The legal minimum on a UK quoteis your name, your address, the date, a description of the work, the amount, and the customer's details. Anything else is for readability and trust.

For a builder specifically, you want: your FMB or TrustMark registration number (the single biggest trust signal), a reference number you can quote on follow-up, a clear breakdown of labour and materials, and the period the quote is valid for and any deposit required.

If your turnover is over £90,000 you must be VAT registered. The toggle on the form handles VAT for you.

If you're working as a subcontractor in construction, CIS deductions apply. Tick the CIS box and pick your rate (0% gross, 20% verified, 30% unverified). The quote will show the deduction clearly so the contractor knows what to withhold.

Common questions

Do I need to use accounting software for this?

No. Small sole traders can use a simple quote template like this one and a spreadsheet for tax time. Software like Xero, QuickBooks, FreeAgent makes sense once you're managing 20+ quotes a month - until then, a printable template and a folder is fine.

Can I send the PDF straight from the page?

Hit “Save as PDF”, save the file to your desktop, then attach it to an email or WhatsApp the customer. The browser's print dialog has “Save as PDF” as a built-in destination.

Are my customer's details stored anywhere?

No. Nothing leaves your browser. We don't track what you type. Close the tab and it's gone.
