What's on a invoice for a gas engineer
The legal minimum on a UK invoiceis your name, your address, the date, a description of the work, the amount, and the customer's details. Anything else is for readability and trust.
For a gas engineer specifically, you want: your Gas Safe Register registration number (the single biggest trust signal), a reference number you can quote on follow-up, a clear breakdown of labour and materials, and the payment terms and your bank details.
If your turnover is over £90,000 you must be VAT registered. The toggle on the form handles VAT for you.
Common questions
Do I need to use accounting software for this?
No. Small sole traders can use a simple invoice template like this one and a spreadsheet for tax time. Software like Xero, QuickBooks, FreeAgent makes sense once you're managing 20+ invoices a month - until then, a printable template and a folder is fine.
Can I send the PDF straight from the page?
Hit “Save as PDF”, save the file to your desktop, then attach it to an email or WhatsApp the customer. The browser's print dialog has “Save as PDF” as a built-in destination.
